This updates existing employee pay items
TakeUrTime replaces the hours on mapped OnPay employee pay items using reviewed, approved worked time. OnPay supplies pay rates. Your internal TakeUrTime Payroll workspace can remain off.
| Updated by this workflow | Handled separately |
|---|---|
| Mapped regular, overtime and second overtime hours, including zero when a mapped category has no worked hours. | Unmapped pay items, pay rates, cash and amount overrides are not written. |
| Paid breaks included once in worked hours; unpaid breaks excluded. | PTO, holiday credits, money adjustments and rate changes are excluded. |
| Employee pay-item hours for the reviewed current schedule period. | Payroll import, approval, deductions and employee payment must be checked and completed in OnPay. |
Authorize the correct employer
Open Company Settings → Integrations → OnPay.
- If application setup is required, ask your application administrator to configure the OnPay partner connection.
- Select Authorize with OnPay and complete the authorization there. No password or token is entered into the TakeUrTime connection form.
- On return, verify the connected employer shown in the integration workspace before matching employees.
- Enable and save Employees and Payroll inputs in the company feature controls.
- Confirm the Recorded time zone used for existing TakeUrTime clocks and select Save time settings.
Authorized management decides which company features are enabled. The application operator must also enable payroll-hour writes. Confirming the recorded time zone does not reinterpret earlier clock records.
Use Open sample OnPay demo in the workspace to explore the sample workflow separately from your live employer connection.
Match existing hourly employees
- Select Load OnPay employees and pay schedules.
- Choose the TakeUrTime employee and the corresponding active hourly employee in OnPay.
- Compare the full name and email, and check the displayed pay schedule. Correct missing or mismatched profile details first.
- Confirm the identity and select Verify and save employee match.
The employee must already exist in OnPay with a pay schedule and hourly pay items. For a review, they must belong to the selected schedule and have a hire date on or before its first date.
Verify employee and pay-item mappings again after reconnecting. Removing an employee match removes its pay-item mappings; it does not undo hours already written to OnPay.
Map each employee's hourly pay items
- Choose the matched TakeUrTime employee and select Load employee pay items.
- Select the Worked-hours category and the corresponding OnPay pay item.
- Check the item's positive hourly rate and overtime treatment. The item must have no cash or amount override.
- Confirm and select Save pay-item mapping. Repeat for each category used by the employee.
| TakeUrTime category | OnPay pay type | Supported source multiplier |
|---|---|---|
| Regular hours | Regular, type 1 | 1 |
| Overtime hours | Overtime, type 2 | 1.5 |
| Second overtime hours | Double overtime, type 22 | 2 |
The review blocks unsupported source overtime multipliers. Verify your company overtime policy and OnPay pay-item treatment before sending. Changing the local hourly rate does not change the OnPay rate.
Compare current and proposed hours
- Resolve open shifts, missing approvals, overlaps and outstanding corrections in TakeUrTime.
- Select Load current pay schedules, then choose the intended OnPay pay schedule and period. Check its dates and check date.
- Select up to 10 matched employees from that schedule. The period must contain up to 32 completed days and include complete shifts.
- Select Prepare reviewed hours. Resolve every listed issue.
- Expand inspect current and proposed hours for each employee. Compare Current OnPay pay items at review with Proposed replacement hours (mapped items only).
- Check every replacement, including zeros. Confirm the intended unprocessed payroll period and coordinate with other administrators so payroll and pay items stay unchanged during delivery.
- Confirm and select Queue reviewed payroll hours.
Hours are rounded to three decimals per work date and earning category. Paid credits are excluded from this worked-hours update. Reviews expire after 30 minutes; changes to source time, approvals, mappings, schedules or provider pay items can require a fresh review.
| Pay item | Current OnPay hours | Proposed result |
|---|---|---|
| Regular | 40.000 | 38.000 replaces the current value. |
| Overtime | 2.000 | 0.000 replaces the current value because no overtime applies. |
| Unmapped bonus | Reviewed separately | Not written by this update. |
The regular replacement is 38 hours, not a negative 2-hour adjustment. Review the whole proposed value for each mapped item.
Compare pay items, then inspect payroll
An Accepted delivery means OnPay acknowledged the update and the employee pay items were read back and verified. This does not prove that hours were imported into payroll, approved or paid.
- Inspect each employee's delivery in Delivery history.
- Open Saved reviews → Inspect review and select Compare current OnPay pay items.
- Review Current hours match or Current pay items differ, along with the returned items, hours and rates.
- Open the intended payroll in OnPay. Check every employee's hours, rates and other pay items before processing.
The receipt identifies a verified version of an employee's pay items. It is not an OnPay payroll-run or import ID.
Review corrections with the original mappings
An unchanged earlier delivery shows Already delivered. An eligible changed review shows Correct hours. Corrections replace the mapped values with the complete corrected hours.
- Correct and approve the original TakeUrTime time records.
- Confirm that the original period is still the current intended unprocessed OnPay period.
- Keep the original employer, employee and pay-item mappings. Prepare a fresh review for the same period.
- Compare the current provider values with the complete proposed replacements, including any zero values.
- Confirm, queue and verify the correction through Delivery history and the intended payroll in OnPay.
If OnPay pay items changed since the last verified update, the correction is held for review there. Changing the mapped items could leave old hours behind, so the integration requires the original item selection.
Can a correction clear hours that no longer apply?
An eligible correction can set mapped categories to zero, including when no worked hours remain. Review those zeros carefully. A first update with no worked hours is not queued. Clearing mapped hours does not delete a payroll run or reverse a payment.
What if the schedule has moved to the next period?
Review the earlier payroll in OnPay with your payroll administrator. Do not use the current schedule's pay items to force a correction for an old period. The integration checks that the reviewed schedule remains unchanged during delivery.
Keep uncertain updates held
The update timed out or its result is uncertain.
Open Delivery history and use Reconcile with provider. Reconciliation can confirm only a provider version captured after an acknowledged write. If that reference is unavailable, the outcome remains unresolved even when current hours match.
Do not resend, switch periods, disconnect or remap the employee to bypass the hold. An unresolved earlier update blocks that employee from being sent for another period. Ask your administrator or support to investigate the original delivery.
OnPay pay items or the schedule changed during delivery.
Inspect the delivery status and the current OnPay values first. A rejected unsent update may need a fresh review. An uncertain update must remain held until its original outcome is resolved. Do not overwrite someone else's changes by repeatedly preparing new reviews.
Prepare or Queue is unavailable.
Check the connection, saved Employees and Payroll inputs controls, confirmed recorded time zone, current schedule and selected matched employees. The application operator must enable writes. Queue also needs a current review without issues, a ready update and your confirmation.
A shift or overtime category is blocked.
Check that shifts are complete, approved, non-overlapping and within the selected period. Shifts crossing a time-zone offset change are blocked. Verify category mappings, supported overtime multipliers and pay items without cash or amount overrides.
Only some employees were updated.
Inspect each result and preserve accepted updates. Resolve only the affected records using the displayed guidance. Do not resend the entire batch; a fresh review identifies unchanged deliveries.
What should I include when asking for help?
Provide the employer, employee, schedule and dates, review or delivery ID, recorded receipt or provider version, exact error and current versus proposed hours. Exclude passwords, tokens and partner credentials.
