EMPLOYEE GUIDE

Your workday,
step by step.

From your first sign-in to your next timesheet, here is how to keep your time accurate and get help when something needs attention.

Sign in to your company

  1. Get your account details from your manager. Your employer creates your employee account.
  2. Open Sign in and use the email and password for that account.
  3. If you received a password-reset link, use it to choose your password. Use the newest link; password recovery help explains expired links and sign-in problems.
  4. Check that you are in the right workspace before recording time.

You can use the website or the employee app. The app page includes download links.

Should I register to join my employer?

No. Registration creates a separate company workspace. Ask your manager for an employee account in the existing company.

I cannot sign in.

Check the account email with your manager, then use password recovery if you forgot the password. If access is restricted or you are in the wrong company, your manager needs to review the account.

Clock in, then clock out

Open Time clock.

  1. Check your current status. Wait for the page to load your latest shift. If it already shows an active shift, review that entry before starting another.
  2. Clock in when work begins. Choose the required work site or remote option if available. Follow any location prompt and complete the required work details.
  3. Confirm that your shift is active. Check the displayed start time. The clock uses company server time.
  4. Clock out when work ends. Complete any required client, contract or description fields, then confirm the action. End an active break first if your company requires it.
  5. Check the result. Your history should show a clock-out time for the completed shift.
Do not guess whether a click worked.

If the connection drops or a message is unclear, use Refresh and check your clock status and history before trying again. Contact your manager if the recorded time is wrong.

Location is unavailable or I am outside the site boundary.

Your company's rules determine whether this blocks clock-in, allows a warning or requires review. Check device location permissions and choose the correct site. Contact your manager if the site or access is wrong. Remote work, when allowed, does not require GPS. GPS is never required to clock out.

Can I record a shift manually?

If enabled, Add entry appears in Your time history. Enter the actual start and end times and required details. If it is unavailable, use the correction process or ask your manager. Do not add a duplicate of an existing shift.

Record your breaks

Break rules, examples and correction guide →

If your company uses live break tracking, the Breaks area appears on Time clock for eligible shifts.

  1. Choose the appropriate Break type.
  2. Select Start break when the break starts.
  3. Select End break when you return to work.
  4. Review the break status before clocking out or transferring sites.

Some companies use requests after the shift instead of live controls. Open Break details and corrections and follow the available request process. If the action you need is missing, ask your manager.

I forgot to end a break or entered the wrong time.

Review the break record and request a correction if allowed. Your manager reviews the proposed change. Applying a break correction returns the shift to pending approval. At clock-out, your company may require you to end the break first or automatically end and flag it for review.

Check your time history

On Time clock, use Your time history. Set From, Through and Status, then select Apply. Use Clear if a filter may be hiding an entry.

What the entry status means
StatusWhat to check
In progressThe shift is still open. Clock out when work ends, or seek a correction if you forgot.
Pending approvalThe completed entry has not yet been approved. Check it for accuracy and follow your company review process.
ApprovedThe entry has been approved. This does not mean a timesheet period is locked or wages have been paid.

Summary payable hours include your active shift and recorded breaks. History rows show full entries, including overnight shifts crossing the selected dates. Use the same dates and filters when comparing totals.

Fix a mistake

First find the existing entry. The available action depends on your company policy and whether the time is locked.

  1. If direct editing is available: open the entry's edit action, correct the actual values and save. Editing returns the entry to pending approval.
  2. If Request correction is available: select it for the entry, enter the proposed values and explain what happened. Submit the request for manager review.
  3. Track the outcome: open My correction requests and check the request status. Sending a request is not the same as having the entry changed.
  4. If neither action is available: send your manager the shift date, actual start/end times and the correction needed.
EXAMPLE MESSAGE TO YOUR MANAGER

“I finished at 5:00 PM on Tuesday, but my shift is still open. Please correct the clock-out time to 5:00 PM.”

What if the entry is locked?

You may still be able to request a correction. An authorized manager must reopen the applicable lock before applying it. Do not create another entry to work around a lock.

Submit a completed timesheet period

When enabled, open My timesheets.

  1. Choose a date within the pay period and select Show period. Check the period dates.
  2. Review the time and resolve missing clock-outs or mistakes with your manager.
  3. After the period ends, use the available submission action.
  4. Check the submission status and follow up on any review feedback.

A manager can record a submission on your behalf. Submission review, individual entry approval and period locking are separate. An approved submission does not send payment.

Why can I not submit?

Check that the period has ended and that submissions are enabled for your company. Review the page's message and checklist. If an entry or lock needs manager attention, ask them to review the period.

Request leave or PTO

Full guide to leave requests, balances and changes →

Open Leave when your company enables requests.

  1. Check Balances and your existing requests.
  2. Select Request leave and choose a leave type.
  3. For Full working days, choose the first and last day and check the company's displayed working schedule. For a partial-day request, provide the start and end times.
  4. Add a private note if your manager needs context, then select Submit request.
  5. Check its status in Requests. Use All requests if it no longer appears under Needs review.
I need to change or cancel approved leave.

Open the request details and use the available amendment or cancellation action. While that change is waiting for review, the original approval remains in effect. Check the final status before treating the dates as changed.

Who can see my leave details?

You and company managers can see private request details. If team availability is enabled, coworkers see names and unavailable times without private leave reasons, types or balances.

Check schedules and your calendar

Open Calendar. Choose Month, Week, Day or Agenda and use Apply filters. Under Customize calendar, choose whether to show schedules, time off and recorded work.

Open a scheduled shift for its details. Employees use published schedules; a planned shift does not clock you in or create worked hours. Continue to use Time clock for actual work.

Something is missing from the calendar.

Check the date range and enabled event types. Site and client filters hide events without that information, including leave. Use Day to search and page through matching events when Month or Week previews are limited. Ask your manager whether the schedule has been published.

Choose your notification preferences

Open Profile to review account details, password, email notifications and text notifications. Save the preferences you change.

Delivery also depends on company settings, the type of notice and any quiet hours. If a notice has not arrived, check the current status inside TakeUrTime instead of assuming a shift or request has not changed.
